Conference Center

Conference Center rooms lie in the pre-security area on the Mezzanine level within easy walking distance of all airline gates. A full range of audio/visual equipment and food services are available.

Located on the main terminal's pre-security mezzanine level next to Loyal Legion, the Conference Center is easily accessible from all gates.

Terms and Conditions

The Port of Portland (the “Port”) is the owner of the PDX Conference Center (the “Premises”). Client wishes to access and use the Premises for a meeting, presentation, or similar event (“Use”) at the time and date identified in the Booking Information (“Date of Access”).

In exchange for the Port allowing Client access to the Premises for the Use on the Date of Access, Client agrees to the following:

1. Use: Client will use the Premises solely for the Use on the Date of Access. Client will not interfere with the operations or the use of property adjacent to the Premises or other Port owned property. Client will comply with all applicable laws, policies, codes, and ordinances, including the Portland International Airport Rules. Client will not exceed the maximum capacity for the Premises identified in the Booking Information details and on the PDX Conference Center Pricing and Room Capacity Policy.
2. Use Fee: Typical applicable fees charged for use of the Premises are identified in the PDX Conference Center Pricing and Room Capacity Policy; additional fees may be charged by the Port for custom room setup, after-house use, or accommodation of other special requests. The Port will identify for Client and Client will pay to the Port the applicable total due for Use of the Premises (“Use Fee”). The Use Fee does not include any amounts paid by Client to any third parties for catering services. Failure by Client to pay the Use Fee within twenty-four (24) hours of the booking (or by such date otherwise identified in writing by the Port) may result in the Port’s cancellation of the Client’s booking of the Premises.
3. Substitutions and Cancellations:
   1. Cancellation - By Client: If Client cancels a booking of the Premises more than 48 hours prior to the start time of the Use, the Port will provide a full refund of any Use Fee that Client has paid. If Client cancels a booking of the Premises less than 48 hours prior to the start time of the Use, the Port has no obligation to refund any Use Fee that Client has paid.
   2. Room Substitution - by Port: If the room booked by Client is or becomes unavailable, the Port may, in its sole discretion, (i) substitute a different room in the PDX Conference Center of equal or greater capacity at no additional charge to Client, or (ii) substitute an appropriate room in the PDX Conference Center of lesser capacity and refund Client the rate difference between the two rooms.
   3. Cancellation - by Port: Portland International Airport is a working airport. Although the Port will use best efforts to avoid cancellations of bookings, the Port reserves the right to cancel a booking at any time for any reason at its sole discretion, including but not limited to in the event of inclement weather, emergency or security incident, or other event outside of the Port’s control. If a booking is cancelled by the Port, the Port will provide a full refund of any Use Fee that Client has paid. In no event will the Port’s liability to Client for any cancellation or substitution by the Port exceed the Use Fee that Client has paid to the Port.
4. Catering: Client will not bring or consume any outside food or beverages on the Premises other than as provided by Loyal Legion’s catering service.
5. No Warranties, No Guarantees: The Premises are provided “as is” and the Port makes no warranty or guarantee of any nature concerning the physical condition of the Premises or the suitability of the Premises for the Use.
6. Alterations, Returns of Premises, Indemnity:
   1. No Alterations: Client will not make any alterations or additions to the Premises, and specifically may not attach or affix any items, including nails, pins, or screws, to walls, ceilings, or floors. Client will not attach any adhesive substances to walls, ceilings, or floors that could cause damage to the Premises.
   2. Return of Premises: At the conclusion of the Use, Client will restore the Premises to its prior condition, repair of any damage to the Premises caused by Client's Use; remove all trash, debris and Client property; and, surrender the Premises in broom-clean condition and return all keys, if applicable, to the Port. 2026.04.09
   3. Indemnity to Port: Subject to any limitations imposed by Oregon law, Client agrees to defend, indemnify, and hold harmless the Port from and against any and all alleged claims, damages, costs, and/or penalties which may be claimed against or incurred by the Port arising from or related to Client’s Use of the Premises.
7. Client Property Left on Premises: Client Property Left on Premises. Any items of Client's property which remain on the Premises after the expiration or earlier termination of this Use Agreement may be deemed abandoned, at the Port's option. The Port will have the option of removing and disposing of any or all such abandoned property and recovering the cost thereof from Client.
8. Limitation of Liability, No Security Services: The Port will have no liability to Client for, and Client Releases the Port from, any loss, damage or injury suffered by Client on account of theft or any act or omission of any third party. The Port provides no security services for the Premises. Client agrees that it is using the Premises at its own risk, and the Port will have no liability to Client and Client will have no claim against the Port for any damage, theft, vandalism or injury caused by the condition of the Premises, or by lack of security services or acts or omissions of other people. In addition, in all events whether relating to the foregoing sentence or otherwise, the Port will only be liable to Client under this Use Agreement for the Port's own willful misconduct or gross negligence, and then only to the extent of actual and not consequential, special, or punitive damages.
9. Port Right to Terminate for Client Breach: Notwithstanding any provision contained herein, the Port may terminate Client’s booking or Use of the Premises at any time for Client's violation of any material terms of these Terms and Conditions without refunding any Use Fee paid to Client.
10. Authority to Execute, Client’s Representatives: The individual(s) agreeing to this PDX Conference Center – Terms and Conditions warrant that they have full authority to agree to those Terms and Conditions on behalf of Client. All provisions of these Terms and Conditions governing the Use of the Premises and Client's activities and conduct on, about or from the Premises will apply to Client's officers, directors, employees, agents, attendees, and invitees.
